Shipping Documents for Used Cars from China: A Buyer’s Handover Checklist
Organize document reviews, responsibilities, and delivery instructions before your vehicle is dispatched.
Agree on the required documents, check the details, and record who prepares, reviews, and receives each item.
Buying a used car from China involves more than selecting a vehicle. Overseas buyers also need a practical way to organize the paperwork exchanged before dispatch and arrival. This checklist focuses on document coordination, so you can ask precise questions and keep an understandable shipment file.
01Build a shipment-specific document list
Before booking transport, ask the exporter, carrier or forwarder, and destination clearance provider to agree on a written document list for your shipment. State the destination, transport method, vehicle details, and parties involved. Ask each provider to identify the documents they need and the information they will check.
Use the list to track items such as the commercial invoice, vehicle information, transport document, and any supporting records requested for your route. Treat these as discussion categories, not a universal customs checklist. Ask the appropriate destination professional to confirm which documents and formats apply before the vehicle leaves China.
02Create one vehicle and party reference sheet
Keep the VIN, make, model, agreed vehicle description, and quantity in one reference sheet. Add the buyer’s and seller’s agreed legal names, addresses, and relevant shipment contacts. Give the sheet a date and version number so everyone knows which details are current.
Compare drafts against that reference rather than checking each document in isolation. If the shipper, consignee, or another named party differs between documents, ask the responsible provider to explain the roles and confirm the correct entries. Do not automatically replace names merely to make every field look identical.
03Review transport document drafts deliberately
For ocean shipments, ask when the draft bill of lading or other selected transport document will be available and who must review it. Check the party details, shipment reference, cargo description, and relevant locations against the booking and agreed instructions. Raise discrepancies with the issuing provider before approving the draft.
Maersk’s shipping-instruction review guidance illustrates the separate checks for document type, shipment parties, payment arrangements, and cargo information. It also identifies country-dependent fields. Use your actual carrier’s instructions for the shipment; one carrier’s online workflow is not a requirement for every used-car export.
04Assign an owner and deadline to every item
Create a simple tracker showing the document name, preparer, reviewer, deadline, and current status. Distinguish “requested,” “draft received,” “correction needed,” and “final received.” An email saying paperwork is being handled should not replace an item-by-item record of what is ready.
Ask the carrier and clearance provider for the deadlines that apply to the booking and planned arrival. Include time for corrections and for any physical delivery they require. If the route or booking changes, ask which documents need updating and circulate a revised tracker to the relevant participants.
05Confirm how documents will be delivered
For each final document, ask whether the recipient needs an original, an electronic record, or a copy for preliminary review. Confirm the recipient, delivery method, and any acknowledgment required. Do not assume that an emailed scan completes every release or clearance step.
Keep document transmission separate from cargo-release approval. Ask the carrier or its appointed agent to explain the release process for the chosen document type and shipment. Verify unexpected changes to recipients or instructions through an established contact channel before sending sensitive business records.
06Keep the commercial and condition records together
Store the final quotation, agreed purchase terms, inspection report, dispatch photographs, and shipping correspondence alongside the document tracker. Our inspection report review guide helps organize the vehicle-condition evidence that belongs in this file.
Before arrival, ask the receiving provider to confirm that the document set is readable, complete for its agreed scope, and available to the people handling the shipment. Record open questions and the person responsible for resolving each one. A clear handover makes follow-up easier without relying on scattered chat messages.

Start with your destination and document questions
Send OUMCAR your destination, preferred vehicle, quantity, and the document questions raised by your receiving provider. These details help frame a clearer discussion about your planned purchase and shipment.
