A Vehicle Arrival Checklist for Used Cars Imported from China

Prepare your receiving records, compare vehicle condition, and document questions at the destination handover.

Prepare before the vehicle reaches you

Bring the dispatch evidence, record what you can actually check, and use the reporting process agreed for your shipment.

For overseas buyers importing a used car from China, arrival is an important handover point. A prepared receiving person can compare the vehicle with the purchase records and document open questions clearly. This practical checklist helps organize the review without assuming that every carrier or destination follows the same procedure.

01Agree on the receiving process before arrival

Ask your destination service provider where the vehicle will be handed over, who can attend, and what identification or authorization the receiving person needs. Confirm the appointment process and how you will be told about changes. Keep the shipment reference and the responsible contacts accessible to whoever collects the car.

Ask the carrier, terminal, and any insurer involved for their applicable inspection and reporting procedures before collection day. Record the channels and deadlines they specify for your shipment. Avoid relying on a general online checklist for a deadline that may depend on the transport document or insurance terms.

02Bring the records needed for comparison

Prepare a compact arrival file containing the agreed vehicle details, dispatch photographs, condition report, and list of included keys and accessories. Add the transport references and the final document tracker. Make these records available offline if the receiving location may have unreliable connectivity.

Our shipping document handover checklist can help organize this file. Label each photograph set by the stage it records, such as seller inspection or dispatch. This makes it easier to compare relevant evidence rather than mixing older sales images with current condition records.

03Match the vehicle before checking its condition

Compare the vehicle identification number with the agreed records and photograph the identifying information you are permitted to access. Check that the car presented matches the expected model and specification. If something differs, ask the responsible provider to clarify it before treating the handover as complete.

Record the odometer display and any visible dashboard messages where safe access and the handover procedure allow. Note observations without guessing their cause. If the vehicle cannot be accessed or started, record that limitation clearly instead of marking an unperformed check as satisfactory.

04Document visible condition systematically

Work around the exterior in a consistent order, taking broad views and then closer photographs of any concern. Include enough surrounding detail to show where a mark is located. Check the accessible cabin and luggage area, and compare visible condition with the dispatch record rather than with a general expectation of how a used car should look.

Wallenius Wilhelmsen’s delivery guidance advises inspecting cargo and recording damage observations on the receipt or dock tally before signing. Use the process required by your actual provider, and ask how to record any area that could not be inspected. Do not infer fault or responsibility from a photograph alone.

05Reconcile accessories and unresolved items

Compare the supplied keys, documents, and agreed accessories with the written handover list. For an electric vehicle, include any charging equipment specifically listed in the purchase agreement. Record missing or substituted items individually, with photographs where useful, rather than using a vague note that something is incomplete.

Keep the receiving record factual: what was expected, what was present, and what needs clarification. If a provider gives an explanation, save it with the record. Distinguish an acknowledgment that a question was received from confirmation that the issue has been resolved.

06Escalate concerns and plan the next movement

Send documented concerns promptly through the channels confirmed for the shipment and retain evidence of submission. Ask the responsible party what additional records or assessment it needs. Where repair work is proposed, check the applicable reporting and assessment process before authorizing changes that could remove useful evidence.

If there is a concern about whether the vehicle can be moved safely, stop and arrange assessment by a qualified professional. Do not use a collection drive as a substitute for that assessment. Keep the arrival file alongside your inspection records and arrange any agreed maintenance or follow-up checks before regular use.
