Preparing a Used Car for Ocean Shipping from China: A Buyer Checklist

Coordinate carrier instructions, vehicle records, accessories, and the destination handover before dispatch.

Use the requirements for your actual booking

Confirm what the carrier will accept, document the vehicle as dispatched, and prepare the receiving contact before transport begins.

Preparing an export vehicle for ocean transport involves coordinating the seller, freight forwarder, carrier, and destination receiver. Overseas buyers can reduce avoidable confusion by confirming the actual booking requirements, recording the vehicle’s condition, and agreeing how documents and accessories will be handled. This checklist is general planning guidance; the carrier’s instructions for a specific shipment determine its preparation requirements.

01Confirm the booked carrier’s instructions

Ask the freight forwarder for the current preparation requirements tied to the actual booking, route, and handling method. Confirm how the vehicle must be presented, which accessories may travel with it, and what information the receiving terminal expects. Keep the written instructions with your booking documents.

Requirements can differ by carrier, service, route, and vehicle type. Do not treat another shipment’s checklist as approval for yours. If instructions are unclear, ask the forwarder to identify the relevant carrier guidance and confirm the answer in writing before dispatch.

02Match the vehicle to the shipping documents

Compare the vehicle identification number and description on the booking, export paperwork, and dispatch record. Ask the responsible parties to correct inconsistencies before the car is handed over. Keep copies of the final documents and note who is responsible for supplying any originals or additional records.

Record the vehicle’s visible condition before transport using dated photographs and a written inspection sheet. Include the areas photographed and any areas that could not be viewed. This gives the receiving party a reference for later comparison, but the record should not be presented as an independent mechanical assessment.

03Agree how the vehicle will be accepted

Confirm whether the vehicle needs to be operable for the booked service and which person will complete the carrier handover. Ask what condition details must be reported and how to document a defect or limitation. If the vehicle has a warning light, fluid leak, or other concern, disclose it to the responsible provider and ask what assessment is needed.

Do not assume that every vehicle can use every shipping method. Tell the forwarder about the fuel type, powertrain, and any known issue that may affect acceptance. Ask for specific instructions for electric, hybrid, or non-running vehicles rather than relying on advice for a conventional car.

04Remove items unless the carrier approves them

Distinguish between accessories included in the vehicle sale and items approved to travel inside it. Ask the carrier about personal effects, loose equipment, charging cables, tools, and any separately packaged accessories. Obtain approval for the actual items and method; an accessory listed on the invoice is not automatically accepted as cargo inside the car.

For example, Wallenius Wilhelmsen’s published receiving guidance says personal effects and non-standard equipment are not allowed in vehicles. That is carrier-specific guidance, not a universal rule. Follow the instructions for your own booking and arrange separately for anything the carrier will not accept.

05Coordinate dispatch and shipment references

Before dispatch, confirm the collection or terminal appointment, contact person, vehicle reference, and booking number. Ask when the carrier or forwarder will acknowledge receipt and how shipment updates are provided. Keep the key contacts accessible to the person responsible for the handover.

If an item or document will be sent separately, record its owner, destination contact, and tracking reference. Avoid relying on informal messages as the only record of an important change. Send a brief written recap when the vehicle description, timing, or preparation arrangement changes.

06Prepare the destination receiving plan

Give the destination contact the dispatch condition record, vehicle details, expected documents, and the reporting procedure supplied by the carrier or forwarder. Ask who can inspect and collect the vehicle, and what identification or authorization they may need. Plan for prompt communication if the delivery schedule changes.

At destination, compare the vehicle with the dispatch record and document any visible difference using the applicable provider process. Our arrival inspection checklist can help structure that review. Keep the booking, correspondence, inspection records, and handover notes together under the vehicle reference.
